Official Exhibitor Rules & Regulations

 

1.

 

Purpose of Exposition

The exposition is for educational and informational purposes to promote pork on an international scope.
     

2.

 

Regulation Enforcement

World Pork Expo, hereinafter known as the Management, shall have sole authority to interpret and enforce all rules and regulations contained herein and to make any amendments thereto as shall be necessary for the orderly conduct of the exposition. Amendments and all subsequent correspondence shall be binding on Exhibitors equally with all rules and regulations. Any and all matters or questions not specifically covered by the following shall be subject solely to the decisions of the Management. The Exhibitor agrees to accept and abide by such decisions.

Any Exhibitor violating the rules and regulations shall be subject to ejection and forfeits the right to exhibit in subsequent years.

Exhibit Space Specifications

Indoor exhibit space is approximately 10' x 10' per exhibit. All indoor exhibit spaces will have an 8' high back drape, 3' high side drapes and a 7" x 44" company identification sign. Outdoor exhibit space is approximately 20' x 20' per exhibit. The exhibit space height in the Varied Industries Building is a maximum of 8' around the perimeter and 20' in the center of the building.

Exhibits extending more than 5 feet from the back of the booth may not exceed a height of 54 inches with the exception of end caps which are at the discretion of the Management. The Management reserves the right to oversee necessary changes and/or adjustments and request Exhibitors to comply. Exhibitor MUST confine equipment/display within their allotted space dimension. Management may require Exhibitor to move excess equipment/display to a space provided by Management.

Payment Schedule

Contracts are due March 14.  Invoices will be issued once the contract is processed.  Payment is due in full within 30 days upon receipt of the invoice. Unpaid booths at this date will be “open for sale”. Assignment of space will not be made until full payment is received.

Wire transfers: If you wish to pay by wire transfer please contact the show management at 515-278-8012. Please note: A wire transfer processing fee of $50.00 does apply.

Cancellation & Refund Policy

The Management reserves the right to cancel exhibit space if full payment is not received by March 29. Cancellation of exhibit space by Exhibitor MUST BE IN WRITING and received on or before March 29, for refund of payment, less deposit, or space renewal fee. No refund will be made for exhibit space canceled after March 29. Exhibitor is responsible for full payment of exhibit space if cancellation notice is not received on or before March 29 or if Exhibitor fails to occupy exhibit space without notice of cancellation.

Eligible Displays

The Management reserves the right to determine the eligibility of any company or product for inclusion in the exposition. Live animals will be permitted in, or as a part of, any exhibit as long as they meet interstate and intrastate health requirements and conform to the current World Pork Expo Health Requirements. The Exhibitor must follow proper and acceptable care and maintenance.

Rejected Displays

The Exhibitor agrees their exhibit shall be admitted and shall remain from day to day solely on strict compliance with the rules and regulations herein set forth. The Management reserves the right to reject, eject or prohibit any exhibit in whole, or in part, or any Exhibitor or representative, with or without cause. If cause is not given, liability shall not exceed the return to the Exhibitor of the amount of payment unearned at the time of ejection. If an exhibit or Exhibitor is ejected for violation of these rules and regulations, or for any other stated reason, NO RETURN of payment shall be made.

Assignment of Exhibit Space

Assignment of exhibit space shall be made on the basis of date, Space Renewal Form or Application/Contract, when payment is received, previous participation and diversification of similar exhibits. It is agreed that if for any cause which arises beyond the normal control of the Management, it becomes necessary to move an Exhibitor to a different location, this will be done to the best possible advantage of the Exhibitor and the Exhibitor will be notified. Space allocation will be made at the discretion of the Management. Exhibitors may not sublease their assigned exhibit space or any part thereof. Notification to the Exhibitor of assigned exhibit space will be made on or before April 30.

Failure to Occupy Space

Any space not occupied by 5:00 P.M., Tuesday, June 7, will be forfeited by the Exhibitor and the space may be resold, reassigned, or used by Management without refund, unless arrangements for delayed occupancy have been made with the Management. Exhibitor is responsible for full payment of the unoccupied exhibit space.

Service Contractor

The official service contractor for World Pork Expo will be Freeman Decorating Company. Service manual will be available online at www.freemanco.org.
     

11.

 

Exhibitor Representative / Contact

Each Exhibitor must name one individual as the duly authorized representative to have charge of installation, operation and dismantling of exhibit. Said representative thereby accepts and assumes responsibility for the exhibit and shall be authorized to enter into service contracts as may be necessary and for which the Exhibitor is responsible. Exhibitor representative/contact shall receive all official correspondence from the Management and be responsible for communicating all information to appropriate individuals, including outside advertising subcontractors.

Registration / Admission

Each exhibiting company shall be given four (4) complimentary name badges for each occupied space. Name badges are valid for entry into the show all three days. Online registration for name badges can be located under the exhibitor tab on at www.worldpork.org.

     

13.

 

Exhibitor Housing/Hotels

Please reference the Hotel/Transportation tab located at www.worldpork.org for a complete listing of hotels holding room blocks for World Pork Expo.  Individuals are responsible for contacting the hotel directly referencing the World Pork Expo rate when making the reservation.

     

14.

 

Sales

All Exhibitors selling products or merchandise must have one of the following VISIBLE: (1) Iowa Retail Sales Tax Permit or (2) Iowa Retailers Use Tax Permit. Application forms for a temporary Tax Permit will be available on site at the Exhibitor Registration Desk.
     

15.

 

Special Visual / Sound Effects

Audio-visual equipment and other sound and attention-getting devices and effects will be permitted only in those areas contracted for and in such intensity as, in the opinion of the Management, they do not interfere with the activity of neighboring Exhibitors.
     

16.

 

Exhibitor Guidelines

A. Exhibitors are to confine their activities to the space they contracted for and not extend into the aisles.

B. Exhibitors will not be allowed to hang banners or other items from the ceiling in the Varied Industries Building.

C. Distribution of samples, literature or souvenirs is permitted only from the exhibit space contracted for unless other arrangements have been made with the Management. Adhesive-backed promotional material and stickers will not be permitted for distribution.

D. Raffles and lotteries of any kind by non-licensed Exhibitors are prohibited. Free drawings for prizes are allowed.

E. Exhibitors who employ costumed personnel or mannequins must be sure their manner, appearance and dress is such as not to offend the most critical attendee. All such personnel must confine their activities to the exhibit space contracted for unless other arrangements have been made with the Management.

F. The use and storage of liquified petroleum (LP) gas portable containers is prohibited. Helium-filled balloons are not permitted inside buildings.

G. Exhibits extending more than 5 feet from the back of the booth may not exceed a height of 54 inches with the exception of end caps which are at the discretion of the Management. The Management reserves the right to oversee necessary changes and/or adjustments and request Exhibitors to comply. Exhibitor MUST confine equipment/display within their allotted space dimension. Management may require Exhibitor to move excess equipment/display to a space provided by Management.

H. If a power washer is used after 5:00 P.M. on Monday, June 6, 2016, it will be the responsibility of the Exhibitor to also guarantee cleanup of any adversely affected equipment/displays on adjoining exhibit spaces.

I. It is the responsibility of the Exhibitor to remove wood chips, straw, bedding, decorative lawn edging or other materials from the exhibit grounds. If not properly removed, Exhibitor will be assessed a clean-up fee by the Iowa State Fairgrounds for removal of said materials following the close of the Expo.

Fire Laws

Flammable materials must be flameproofed before being taken into the exhibit buildings to the extent that such materials will meet the standards as set forth by the office of the Iowa State Fire Marshall and will pass all inspection. Exhibitors agree to conform to all local and state fire and safety codes as they affect their exhibit.
     

18.

 

Defacing of Building

Exhibitors may not apply paint, lacquer, adhesive or any other coating to building walls or floors or to standard booth equipment. Exhibitors are liable for any damage caused by fastening displays or fixtures to the building floors or walls or to the standard booth equipment, or for damages caused in any other manner.
     

19.

 

Insurance

All Exhibitors are required to provide National Pork Producers Council with a CERTIFICATE OF INSURANCE NAMING NATIONAL PORK PRODUCERS COUNCIL AS CERTIFICATE HOLDER AND AS AN ADDITIONAL INSURED. ALL EXHIBITORS ARE RESPONSIBLE for providing their own theft and fire insurance coverage. Small or easily portable articles of value should be properly secured or removed after exhibit hours and placed in safekeeping by Exhibitors. The World Pork Expo insurance policies do not include fire and theft coverage for individual exhibit space and their contents. (Also refer to No. 20 "Limitation of Liability.") Name of exhibiting company as shown on the World Pork Expo Contract MUST appear on the certificate and should be mailed to: World Pork Expo, 10676 Justin Drive, Urbandale, IA 50322.
     

20.

 

Limitation of Liability

The Exhibitor assumes full responsibility for property damage, personal injury or death to any party by reason of the Exhibitor's participation in the exhibition activities and the Exhibitor agrees to defend, indemnify and hold the Management, its subcontractors and the Iowa State Fairgrounds harmless from all liability which might ensue from any act of God or any cause whatsoever arising out of the Exhibitor's occupation of the exhibit space and the Exhibitor agrees to defend, indemnify and hold the Management, its employees, subcontractors and the Iowa State Fairgrounds harmless against all such claims, including attorney fees and court costs. The Exhibitor expressly understands and agrees that the foregoing liability clauses apply not only during the exhibit hours, but also at all other hours of each day for the period extending from the commencement of installation, until the final removal of all the Exhibitor's property and personnel from the exhibition areas and to any latent or contingent damage, injuries or liability arising or discovered at a later date as the result of, or arising out of, the Exhibitor's participation in the exhibition. The Management, its employees, subcontractors or the Iowa State Fairgrounds will not be responsible to any degree whatsoever for any ill effects caused to any person or group of persons in attendance prior to, during and after the close of the World Pork Expo, for any samples taken or by other means given them by the Exhibitor and Exhibitor representatives.
     

21.

 

Delays or Cancellation by Disaster

The Management shall not be liable for delays, damage, loss, increased costs or other unfavorable conditions caused by fire, strikes, government order, emergency or other acts and circumstances beyond our control. The Management shall not be held liable for failure to hold World Pork Expo as scheduled and shall determine the amount of exhibit fees to be refunded.
     

22.

 

Security

Each Exhibitor must make provisions for the safeguarding of his/her goods, materials, equipment and display at all times and wherever the same may be located within, on or about the exhibition premises. Security guards will be employed by the Management for the duration of World Pork Expo, but neither the Management, its subcontractors nor the Iowa State Fairgrounds will be responsible for property damage, or loss by or for any cause, and the Exhibitor hereby waives any right to claim liability against them for the same.

Rules of the Exhibit Facility

Rules and regulations enforced by the Iowa State Fairgrounds are incorporated herein by reference and made a part thereof.
